In-Person/On-Campus Appointments
What to expect:
Students must show their Duke ID to sign in and again when signing out.
Once students sign in, they are not be permitted to leave the facility, unless in the case of an emergency.
Nothing is allowed in the testing room. Writing utensils and scratch paper are provided by the center. (calculators and notes are allowed if approved by the instructor).
All personal belongings and electronics are stowed in a locker. Exceptions will be made for those with SDAO approved medical devices and staff members may request to inspect these items.
Restroom breaks taken during an exam will count as part of the total test time unless otherwise permitted.
Restroom breaks may only be taken using the restroom located inside of the Testing Center.
The Testing Center uses a system called Accommodate to manage appointments, access student accommodations, and receive exams from instructors. All students and instructors have access to Accommodate. After a student has requested an appointment via Accommodate, an instructor receives an automated email prompting them to review the appointment request. Instructors must approve or decline the appointment request based on the correctness of the appointment parameters (date, time, and length of the appointment) as soon as possible.
After the instructor has approved the appointment request, the Testing Center will send a confirmation email to the student.
Instructors are required to upload the exam and supplemental information to Accommodate at least two (2) business days in advance of a student’s exam appointment. Please note you should only submit form when you are ready to attach the exam. If exams are not submitted on time, associated appointments may be canceled. You will be required to find alternative arrangements for supplying your students’ testing accommodations.
The completed exam will be returned to the instructor by the method indicated when uploading the exam. We are happy to provide advice and support to any instructor who is troubleshooting how to manage the monitoring of high-stakes exams or unique situations. What to expect:
Virtual room scans will be completed before testing can begin.
Duke ID checks will be required.
Proctor to student ratio of no more than 1:8
1 to 1 view of the student and student’s computer screen will be visible at all times.
1 to 2 (or more): A view of the students and the student’s computer will be checked periodically during a test administration.
An irregularity report will be provided to instructors should any irregularities occur (e.g. another person enters the testing space or the student is heard speaking with someone off-camera).
Testing sessions will be recorded in case review is necessary.
Using screen sharing on Zoom, proctors will dictate the exam word-for-word over computer audio to students requiring a human reader. Using the screen share and control functions proctors can click answers on behalf of students and, in other cases, scribe student answers using Microsoft Word and directly send the file to the faculty member.
After a student has requested an appointment, an Outlook calendar invite will be emailed to both the instructor and student. The description of this invitation will house the zoom link to be used for proctoring on test day.
Once an instructor has received the Outlook Calendar invite they should review the date, time, and length of the appointment. If these parameters are correct, they should accept the email invitation by clicking on the “yes” tab in the email, and the appointment will be approved.
If these parameters are incorrect, the date, time, length of the appointment, the instructor should decline the invitation, by clicking on the “no” tab in the email, and add a written response detailing what parameters need to be changed in order for the invitation to be accepted.
Please note, accepting a calendar invite does not signify that you must attend the appointment, only that you have approved the student’s appointment and its parameters.
Once the Testing Center has received confirmation that the Outlook Calendar invite has been accepted the Testing Center will email the instructor a link to the form needed to submit the exam and any pertinent instructions.
